iPhone HEIC in the firm: evidence photos without format chaos

Why Apple photos stall Windows desktops - and how teams turn them into stable PDFs.

Clients and site visits increasingly deliver evidence photos as HEIC - the default on many iPhones. On Windows those files do not open reliably; some practice systems ignore them entirely. The fault is rarely the client’s; it is missing import rules.

HEIC is not JPEG with another suffix

HEIC stores efficiently, often with strong detail at smaller size. Some converters still produce overly compressed JPEGs or wrong orientation. For accident scenes, defects or identity documents, edges, digits and colours must survive. A “quick convert” via messenger export is often worse than a direct export from the photo library.

Teams should decide: keep original HEIC internally, working copy as JPEG or PNG at a defined quality, final evidence as PDF with page labels (date, short description, matter reference).

Import checklist

  • Preserve original filename and capture date before renaming.
  • Check orientation against content (sky, text, number plates).
  • Avoid messenger compression as sole source when possible.
  • Standardise output: PDF for the file, not a folder of mixed formats.
  • For series: lock order and captions before merging.
  • Store sensitive images only on approved paths.

Windows, macOS and mixed teams

Mixed environments create shadow archives: the assistant on macOS sees the image; the partner on Windows does not. A central conversion step before practice-system filing prevents that. Browser-based processing reduces local codec dependence.

Quality tiers for evidence photos

Not every HEIC must stay maximum size. Working quality for internal review, higher tier for filing. Watch messenger crop; ask for originals from the photo library in parallel.

In mixed teams a central import step ends debates about who cannot open the picture. Check orientation against content.

Metadata and selection

Consciously strip or keep GPS per evidence strategy. Before sending: review selection and redaction. The bundled PDF inherits every privacy issue. Unify formats before merging and caption series.

Legal and organisational notes

Photos may show people and places that do not belong in every outbound pack. Before sending to an opponent or court: review selection and redaction if needed. Metadata (GPS) may survive some exports - decide consciously whether location data stays in the evidence copy.

Colour profile and filename on import

Convert HEIC soon after receipt into a file-ready format (JPEG or PDF) and name with matter reference, date and subject. Evidence photos then do not sit as “IMG_4832” in private chat backups.

Keep original and working copy apart

Store the original HEIC write-protected in the matter folder and work only on the converted copy. If image processing is challenged, you can produce the source. Note conversion date and tool briefly. The chain of custody stays traceable without forcing teams to live in a format that practice software handles poorly.
