Mobile scanning at the client meeting: quality without a return visit

Capture phone scans so the office and deadlines are not waiting on rescans.
The meeting is over, the papers are in the car - and back at the office page 7 is skewed, page 12 is too dark, and the signature is only a shadow. Mobile scanning saves journeys, but only if the capture meets the same quality bar as the flatbed in the firm.
Partners and associates scan under pressure: waiting rooms, sites, client kitchens. Light, perspective, and naming then decide the rework load. A clear field standard stops support staff from having to rephotograph the next morning.
Light and surface before the first shutter
Avoid mixed light from neon and windows. Place pages on a matt, single-colour surface - not a glossy table, not a checked cloth. The hand’s camera shadow is a classic: stand slightly to the side, not directly above.
If the app offers perspective correction, use it after a sharp capture, not as an excuse for skewed raw images. Blur cannot be “straightened”. For critical pages with a stamp or handwritten date line: take a second shot from a little further away, then crop.
How mobile differs from the office scanner
Phone sensors treat contrast differently from document scanners. Pale stamps and pencil notes vanish more easily. Brighten slightly if needed rather than sharpening aggressively later - sharpening creates artefacts that confuse OCR.
Keep multi-page matters as one file, not twelve gallery images. Name immediately after the meeting: matter reference, document type, date. LexLogik can bundle later PDF steps in the browser - field quality must still be right before anything is uploaded.
Short field checklist
- Full page in frame, margins visible, no clipped matter numbers.
- Orientation check: header at the top, no mirror effect through glass.
- Signature and stamp readable at zoom before you leave the room.
- Carbon copies: test contrast; place paper against light card if needed.
- File into the firm folder at once; do not leave images in private albums.
Handoff to the office
Note in the matter or ticket: page count, whether originals remain on site, whether colour was required. The person running OCR and compression needs the same context you had in the room.
For deadline-critical packs: two good captures beat one hurried one. A return visit costs more than thirty extra seconds at the table.
Devices, apps and confidentiality on the road
Use firm devices or clearly approved MDM profiles. Matter photos do not belong in private cloud galleries with family sharing. Disable automatic backup to consumer clouds for the scan folder, or save captures straight into the encrypted firm folder. For highly sensitive papers: delete from the device after successful transfer and note that briefly in the matter. Mobile scanning stays fast - without turning the meeting into an uncontrolled data path.
After the meeting: five-minute quality gate
Still in the car or lobby: check page count, zoom critical pages, set the filename, start the upload to the firm folder. If a page is missing, ask while the client is still reachable. Office support should be allowed to reject a field capture when stamp or date is unreadable - without treating that as criticism of the partner.
Mobile scanning only helps when field quality matches the office scanner. A clear reject path for unreadable captures protects deadlines better than politeness at the client table.
